The Pratagy Group has been in the hospitality market for over 30 years and owns a resort and a water park, Pratagy Acqua Park, located in Maceió, in addition to other investments in the segment.

Surrounded by beautiful natural landscapes, Pratagy Acqua Park is the first All Inclusive resort in Brazil and, although the group has been growing exponentially in recent years, until recently, there was a gap in the controllership.

As a result, the Group was looking for a solution to support the planning and tracking of finances. After research, AllStrategy Plano, budget management software, was on the radar as it offered benefits that exceeded what was initially expected.

To understand more about what the company’s scenario was before and how Plano has supported Pratagy Resort, we talked to Carlos Ayron, Group Controller and active participant in the use of the software.

Challenges of budget control

Pratagy Resort, which serves thousands of guests every year in its structure for rest and leisure, already carried out budget planning, but followed the data in spreadsheets.

However, the team felt difficulty in the process, because, due to the manipulation of the files by several people, the reliability of the data was reduced, which increased the time to calculate the results. As a consequence, one of the main consequences of this process was the loss of important information for management.

“As much as you manage spreadsheets, when working with several managers and sharing information between them, sometimes you need to have information online to make decisions,” explains Carlos.

Faced with this scenario, integration with the ERP was another relevant issue so that the information held by Pratagy Resort could be updated with the planning with speed, without generating a large volume of data to reach the necessary analyzes.

The need to optimize controllership

After finding and evaluating AllStrategy Plano, the implementation process was smooth and fast. The information parameterization in the software and the results were noticed in a short time.

In addition, the company immediately identified that it could expand the use of the system, as the main point for the controller was the consolidation of data in the DRE. Progressively, new modules began to be used, making the display of information even more strategic.

Carlos comments that he notices the maturation of the culture and the decentralization of the budget. Today, each manager is responsible for the values related to his/her area and helps to check the numbers, avoiding common posting errors in any company.

“Before it was just a controller or an accountant, today we have a team of managers validating releases. Now, this is a process of developing maturity and changing culture.”

With this, Pratagy Resort has already reached a very high degree of management maturity. This is felt in the closing of the budget, which currently has less than 3% variation between planned and realized.

According to Carlos, “decisions are now based on planning and, consequently, this has brought greater management assertiveness. All this is due to the process of management maturation.”

New ways of looking the data
